Booking conditions

Conditions of business
* We declare all our reservations and services subject to The Standard Terms and Conditions for Hotel and Catering Industry (UVH). The UVH are registered with the District Court and The Chamber of Commerce and Industry in The Haque. Please click below for a print version of the UVH.

Additional conditions of business
* All offers and options are automatically released at the expiry date. If, within the option period, the hotel recieves a third party request for the period involved, the hotel will then contact the original option holder first. We then expect a decision within 1 working day whereby minor details can be worked out at a later date.
* Master billing is assumed in all quotations. When individual payment is required for catering services, a surcharge of €. 25.00 will apply per hour per employee with a minimum of 4 hrs. The surcharge may also be applicable to last minute changes in the agreed upon time planning
* All quotations are in Euro’s, including services and specified taxes. Invoices can be paid by bank transfer, cash, visa, euro-master card, PIN, V Pay and EDC Meastro. All rates are net. Only after prior agreement by the hotel can invoices be sent. Administration and bank transfer charges apply. Payment of the invoice within 14 day’s of reciept. The invoice will be sent to the organiser. If the organisor changes, both parties will inform the hotel in writing. The hotel remains the right, in case of organisor change, to adjust the reservation and conditions or to cancel the total reservation. The guest agrees to the inclusion of  btw(tax) and payment of this tax.
* Additional service charges may apply after 23.30 hours as well as on public holidays and Sundays. This also applies to late¬ changes in the pre-determined schedules and/or number of participants.
* Not applicable to conference rates and packages ; Frequent flyer points, agency commissions, other promotional offers
* Deposit policy and/or credit card guarantee applies to all reservations as well as an administration fee for invoicing. All reservations are to be confirmed in writing including suitable guarantee.
* Hotel rooms are available from 2 PM. On the departure day we request check-out before 11 am. Conference rooms are generally available 30/45 minutes prior to the start of the venue.
* When the actual number of participants for a meeting package is less then 10, charges according to actual usage apply.
* Up to 72 hrs (weekdays) prior to venue date we allow max. 10 % variation in the actual number of participants, except for  24 hrs package. When larger variations occur the hotel will charge for the guarantee incl. labor costs and lost revenue.
* Official price increases will be added. Previous quotations and conditions are herewith replaced. Information and rates published are subject to change without prior notice.
* According to Dutch law the hotel is non-smoking property,
* In general, when city council and/or government permission is required for a function, the hotel will assist the organizer in obtaining the necessary permission(s). A copy of this document should be in the possession of the hotel at least 7 working days prior to the venue. Cost of this permission request is for the organizer.
* If the hotel is intermediate in the hire of external equipment, it does so in the name of and for the account of the contractor. The contractor safeguards the hotel from third party claims of the ordered equipment. Third party goods and equipment left in the hotel are neither insured nor our responsibility except for proven serious negligence on our part. However we will take our normal precautions in securing third party goods and equipment.
* Local fire department regulations do not allow the hotel to lock the conference rooms.
* Dutch law requires photocopy rights for making photocopies. We assume the contractor has these rights when requesting photocopies.
* The hotel remains the right to cancel a reservation if ;
A. The original reservation is changed.
B. The hotel has reasons to believe the reservation will harm its reputation, disturb the safety and/or normal operations.
C. The reservation is ceeded to a third party without prior permission, acceptance and confirmation by the hotel.
* Certain items on our menu suggestions are seasonal. When not available we will properly substitute these items. This also applies to sudden government/health restrictions.
* Cover charge and/or corkage fee will be charged, when applicable.
* Under circumstances the hotel reserves the right to offer suitable alternative meeting accommodations.
